Start with the arrival details
For airport arrivals, send the flight number as well as the scheduled time, so the pickup can follow the real landing time. For departures, allow a sensible check-in margin and extra time when the group has several hotel pickups or substantial luggage. If a group arrives on more than one flight, a consolidated coach only works when the arrival window is realistic; otherwise staggered vehicles or a planned holding period may be more practical.
Agree the meeting point
Passengers need to know where the driver will be. At the airport, railway station and bus station, large vehicles use designated areas that can be some distance from the main entrance, so share the exact meeting point and a contact number with the group leader.
